Who we are
"WebWiz," "we," "us," and "our" refer to WebWiz Studio, a small web design business operating in the United States. We build hand-designed websites for small businesses and offer ongoing hosting and care plans. This Privacy Policy explains what personal information we collect when you visit trywebwiz.com ("the Site") or hire us to build or host a website ("the Services"), and what we do with it.
By using the Site or the Services, you agree to the practices described here. If you don't agree, please don't use the Site or hire us.
Information we collect
Information you give us directly
- Inquiry & project details: name, business name, email address, phone number, current website URL (if any), what your business does, design preferences, and anything else you submit through our contact or order forms.
- Account & billing details: when you hire us, we collect billing name, billing address, and the last four digits of your payment card. Full card numbers are entered on Stripe's hosted checkout and never touch our servers.
- Project content: any text, photos, logos, brand assets, login credentials, or files you share with us so we can build or maintain your site.
- Communications: emails, voicemails, calendar invites, and chat messages you send to us.
Information collected automatically
- Server logs: our hosting platform records IP addresses, browser type, pages requested, referring URL, and timestamps. This is standard infrastructure data used for security, abuse prevention, and uptime monitoring.
- Cookies and similar tech: see Cookies & tracking below.
Information from third parties
- Payment confirmations from Stripe: Stripe shares the result of each charge (success/decline), card brand, last four digits, and country, but not the full card number.
- Domain registrars: when we register a domain on your behalf, the registrar may share registration details with us.
How we use your information
We use your information to do the work you've asked us to do. Specifically:
- Respond to your inquiry and quote your project.
- Design, build, deploy, and maintain your website.
- Process payments and issue receipts and invoices.
- Host your site, keep it secure, monitor uptime, and run backups.
- Communicate with you about the project, retainers, renewals, outages, or changes to our terms.
- Keep records for tax, accounting, and legal compliance.
- Improve the Site and our Services (e.g., understanding which pages people read).
- Detect and prevent fraud, abuse, or security incidents.
We don't use your information to train artificial intelligence models, run advertising networks, or build profiles of you for resale.
Who we share information with
We share personal information only with vendors who help us run the business and only as needed:
- Stripe — payment processing. Stripe handles your card details under its own privacy policy: stripe.com/privacy.
- Hosting and infrastructure providers — the servers your site runs on, including content delivery, SSL certificate issuance, and DNS.
- Email and calendar providers — for client communication and scheduling.
- Domain registrars — if we register a domain for you.
- Accountants, bookkeepers, and tax authorities — as required to file taxes and keep records.
- Lawyers or law enforcement — if we're legally required (subpoena, court order) or need to protect our rights or someone's safety.
- Successors — if WebWiz is acquired, merged, or sold, your data may transfer to the buyer subject to this policy.
We don't sell, rent, or trade your personal information. Ever.
Cookies and tracking
Our marketing site (trywebwiz.com) uses minimal cookies. We may use:
- Strictly necessary cookies for security, fraud prevention, and basic site function.
- Analytics cookies to count visits and understand which pages are useful. These are aggregated and don't identify you personally.
If we ever add advertising or third-party social pixels, we'll add a cookie banner with opt-in controls. You can also block or delete cookies in your browser settings. Doing so may break some features on sites we host for you.
We honor "Do Not Track" and Global Privacy Control signals where reasonably possible.
Security and storage
We take reasonable steps to protect your information, including:
- HTTPS (TLS) on every page we host.
- Encrypted backups, geographically distributed.
- Access controls and unique credentials for each team member.
- Regular security patches and malware scans on hosted sites.
- Two-factor authentication on critical accounts.
That said, no method of transmission or storage is 100% secure. If a breach occurs that affects your information, we'll notify you and any required regulators in line with applicable law.
How long we keep your data
- Inquiries: kept for up to 24 months, unless you ask us to delete sooner.
- Active client records: kept for the life of the engagement plus 7 years for tax and accounting reasons.
- Payment records: kept for as long as required by tax law (typically 7 years).
- Site backups: kept for the life of your hosting plan plus 30 days after cancellation.
- Server logs: rotated within 30 to 90 days.
Your privacy rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Delete your information ("right to be forgotten"), subject to records we must keep for tax or legal reasons.
- Receive a portable copy of your data.
- Restrict or object to certain processing.
- Withdraw consent at any time.
- Lodge a complaint with your local data protection authority.
To exercise any of these rights, email hello@trywebwiz.com. We'll verify your identity and respond within 30 days. We won't charge you a fee or retaliate for making a request.
California residents: we don't sell or share your personal information for cross-context behavioral advertising as defined under the CCPA/CPRA. You may still submit a "Do Not Sell or Share" request via the contact above.
Children
The Site and Services are not directed to anyone under 16, and we don't knowingly collect personal information from children. If you believe we've collected information from a child, contact us and we'll delete it.
International data transfers
WebWiz is based in the United States. If you contact us from outside the US, your information will be transferred to and processed in the US, where data protection laws may differ from your country. By contacting us or using the Services, you consent to this transfer.
Changes to this policy
We may update this policy from time to time. When we do, we'll change the "Last updated" date at the top and, for material changes, post a notice on the homepage or email active clients. Continued use of the Services after a change means you accept the updated policy.
